I Introduction

1 About ROIS-DS

 The Joint Support-Center for Data Science Research (ROIS-DS) was founded in 2016 within the main body of ROIS. Our mission is to support wide range of researchers and students who are involved in data-driven or data-oriented sciences, as a whole, data sciences.

 Currently ROIS-DS consists of six research centers that cover wide range of Data Science-related fields; from life science, geoscience, statistical mathematics, informatics to social science as well as humanities.

 To augment the mission, we are inviting research proposals to our open collaborative research program, called "ROIS-DS-JOINT". The major aim of this program is to provide opportunities to the widest range of researchers to collaborate us utilizing our facilities and resources.

2 Outline of the ROIS-DS-JOINT program

 We will accept proposals in the following two categories; (1) Joint Research Program, and (2) Joint Research Meeting Program. See Section II, Call for Proposals, for details.

3 Schedule

4 Preparation for participants (about JROIS Registration)

 Submission of the proposals to ROIS-DS-JOINT has been changed to use web-based online system called JROIS (Joint-Research On-line Integrated System).
 All the applicants and collaborators are required to register to the JROIS system prior to the submission of the research proposals.
 Since the information of your registration is commonly used among the collaborative research programs in ROIS, you do not have to doubly register to the system once you have done so to other ROIS institutes.

II Call for Proposals

1 Type of the Programs

1.1 The Joint Research Program
  • Outline
    - Each project has to be conducted under the close relationship with the member(s) of the corresponding ROIS-DS centers, namely the host scientist(s). Proposals should be good and solid as collaborative research with clearly specified targets in the area of data science. It is expected that each project will be carried out utilizing the facilities and resources available at the ROIS-DS, and that the research plan has to be agreed upon with the host scientist(s) prior to the submission. The size of the research group is expected to be small enough to establish good communication and collaboration.

    - Those projects aimed at mere data acquisition will not be accepted by this program. Also, it is requested to describe concrete plan and the methods of data analysis and sharing in the “Research Plans and Methods” section.

    - Each project can be renewed annually up to 3 years, although renewed proposal has to be submitted each year.

  • Budget
    - ROIS-DS will provide up to 1,000,000 JPY to each approved project as research expense, which is limited to the direct cost necessary to conduct the project such as consumables and cost of labors used at the host centers, for example. Salary and the purchase of standard equipment are not allowed. Entire budget is handled (ordering / inspection) through your host scientist at ROIS-DS. There will be no budget transfer from ROIS-DS to other organizations. Budget request will carefully be examined by the evaluation committee and the ROIS-DS promotion section according to the suitability. The amount granted may result in reduction. Those projects aimed at mere data acquisition will not be accepted by this program. Also, it is requested to describe concrete plan and the methods of data analysis and sharing in the “Research Plans and Methods” section.

    - Travel expenses are to visit ROIS-DS centers to carry out the project. Round-trip and accommodation fees and daily allowance can be included.

     ◆ Round-trip transportation fee: The most economical ticket from the affiliated institution to the corresponding ROIS-DS centers.
     ◆ Accommodation fee: Faculty / Researchers 12,000 yen, Students 8,000 yen /night.
      However, if the accommodation area is Saitama City, Chiba City, 23-ku of Tokyo, Yokohama City, Kawasaki City, Sagamihara City,
      Nagoya City, Kyoto City, Osaka City, Sakai City, Kobe City, Hiroshima City, Fukuoka City, add 1,000 yen/night.
     ◆ Daily allowance: Faculty / Researchers 2,500 yen, Students 1,500 yen.

    - Expenditure for conference participation fee, including trip, is granted only if results from this program are presented (either posters or oral presentations) , and the support from "ROIS-DS-JOINT" is acknowledged in the appropriate way.

    - Publication fee (regular papers or peer-reviewed conference papers) can be granted if support from "ROIS-DS-JOINT" is clearly stated in the acknowledgment or appropriate sections.

  • Important Notices
    - Each proposal has to be discussed and agreed upon with the host scientist(s) prior to the submission. At least one of the ROIS-DS members has to be included in your proposal as the host scientist(s).

    - Each project is expected to be carried out at the centers of ROIS-DS. In the case you need to carry out the projects outside the ROIS-DS, although it is exceptional, please justify the reasons of necessity and describe the detailed plans either in the “Research Plans and Methods” or “Additional Notes” sections.

    - Each project can be renewed annually up to 3 years, although renewed proposal has to be submitted each year.

    - The accepted program has to be finished by the 31st March, 2022. Submit report through the JROIS system by the 30th April, 2022.

1.2 The Joint Research Meeting Program
  • Outline
    - In this category, small and independent meetings on the study of future collaboration plans, lectures or seminars on data science, for example, will be supported. Those attached to other conferences are not supported. The meetings can be held as “closed” according to the necessity.

  • Budget
    - ROIS-DS will provide up to 500,000 JPY in total to each approved plan as expenses for travel and rental/room fees, for example. Salary and the purchase of standard equipment are not allowed. Entire budget is handled (ordering / inspection) through your host scientist at ROIS-DS. There will be no budget transfer from ROIS-DS to other organizations. Budget request will carefully be examined by the evaluation committee and the ROIS-DS promotion section according to the suitability. The amount granted may result in reduction.

    - Travel expenses are to visit ROIS-DS centers, or to send out the members of ROIS-DS as lecturers, presenters, or speakers to the location of applicant’s organization.
     Please discuss with the ROIS-DS member(s) and ask for the suitability and availability in advance.

    - Please use facilities of ROIS or those affiliated to the group member’s organizations for the meeting place. In the case using other facilities, describe the reasons of necessity in the “Additional Notes” section.

    - Public announcement of the meeting through the web page of ROIS-DS is available. Please contact ROIS-DS promotion section upon necessity. It is requested to acknowledge the support by the "ROIS-DS-JOINT" program in an appropriate way.

    - The accepted meeting has to be held by the 31st March, 2022. When the meeting is finished, please inform the promotion section through the host scientist and submit report through the JROIS system within 30 days.

2 Members of the Collaboration Groups

(1) The Applicant and collaborator to the Joint Research Program
  • - The applicant to the joint research program is the person who represents and participates in the major part of the proposed project throughout the duration period. A person cannot be an applicant of more than two projects at the same time. Eligible applicants are the researchers employed by universities or governmental (either national or local) or non-profit institutes either in domestic or foreign countries. The person who is employed by ROIS, company or governmental organization, as a non-researcher position, or other organizations, or students can join this program as a collaborator. Send inquiry to the appropriate center or the ROIS-DS promotion section for details.

  • Important Notices
    - Please name one of the ROIS-DS members as the host scientist, so as to act as a person in charge of the accounting affairs. Only the host can handle transactions of the budget.

    - The applicant and collaborators outside ROIS have to obtain written permission from the director or supervisor, or the equivalent, of their departments, or the equivalent, in advance.

    - Students can only be involved as a collaborator. For the undergraduate students, please specify the reasons of necessity in the application. Written permission from the supervisor, advisor or department head, or equivalent, is required.

    - Members of ROIS can not be an applicant, and can only be a collaborator.

    - All the project members are requested to register to the JROIS system prior to the submission of each proposal.

(2) The Applicant and collaborator to the Joint Research Meeting Program
  • - The applicant to the joint research meeting program is the person who represents the proposed project. A person cannot be an applicant of more than two projects at the same time. Eligible applicants are the persons (not necessarily be a researcher) employed by universities, governmental (either national or local) or non-governmental organizations or companies either in domestic or foreign countries. Students can only be involved as a collaborator.

  • Important Notices
    - There are several differences in the conditions from those of the joint research program. Please refer to the above section or send inquiry to the appropriate center or the ROIS-DS promotion section for details.

    - Please name one of the ROIS-DS members as the host scientist, so as to act as a person in charge of the accounting affairs. Only the host can handle transactions of the budget.

    - The applicant and collaborators outside ROIS have to obtain written permission from the director or supervisor, or the equivalent, of their departments, or the equivalent, in advance.

    - Students can only be involved as a collaborator. For the undergraduate students, please specify the reasons of necessity in the application. Written permission from the supervisor, advisor or department head, or equivalent, is required.

    - Members of ROIS can not be an applicant, and can only be a collaborator.

III Budget

  • - ROIS-DS will provide up to 1,000,000 JPY or 500,000 JPY to the Joint Research Program and the Joint Research Meeting Program, respectively. Send inquiry to the ROIS-DS members or the ROIS-DS promotion section for details.

IV Submission of the Application

1 JROIS On-Line Submission System

 Submission of the proposals to "ROIS-DS-JOINT" has been changed to use web-based on-line system called JROIS (Joint-Research On-line Integrated System). All the applicants and collaborators are required to register to the JROIS system prior to the submission of the research proposals. Since the information of your registration is commonly used among the collaborative research programs in ROIS, you do not have to doubly register to the system once you have done so to other ROIS institutes.

  • Those who wish to apply to the "ROIS-DS-JOINT" program are requested to make contact with the members of ROIS-DS centers of your interest, and ask for their availability, and discuss your plans in advance, because capacity and the conditions for acceptance differ depending on the centers. Please refer "ROIS-DS Reseachers" for the names of members and the Appendix for their activities.

  • One of the researchers of the ROIS-DS centers has to be included among the collaborators as a host scientist, so as to act as a person in charge of the handling of the budget. Each proposal will carefully be examined the evaluation committee before acceptance. Written permission from the director or the supervisor, or the equivalent, of the department, or the equivalent, is required; however, you do not have to send those forms to us, but please keep them until the project is finished.

  • Your submission will be handled through the web-based JROIS system, to which your plans and other information will be written-in directly through your terminal. Thus, unlike last year, there are no template files used for the submission. You may upload separate files containing supplementary information such as figures if necessary.

2 Important Dates

(1) Deadline of the submission of the proposals
  20th May, 2021 (Japan Standard Time 12:00)

(2) Notification of Acceptance
  Currently scheduled around late-June, 2021

(3) Finishing date of the project and deadline of the report
  The accepted program has to be finished by the 31st March, 2022.
  Submit report through the JROIS system by the 30th April, 2022.

4 Miscelleneous Issues

  • (1) Your personal information will be properly handled according to the Personal Information Protection Regulations (Japanese version only) of ROIS. We do not use your personal information other than things about "ROIS-DS-JOINT".

  • (2) Each project has to prepare and send report via JROIS system within 30 days after the termination of the project. You may separate your report into OPEN part and NON-OPEN part. Only the contents in the OPEN part may be disclosed to the public or used as a material for public relations activity of ROIS.

  • (3) Upon publication of the outcome from the "ROIS-DS-JOINT" program, please send a copy of the paper (pdf file, for example) to the ROIS-DS promotion section. We also request to acknowledge the program in the paper as follows: “This work was supported (, in part,) by "ROIS-DS-JOINT" (I.D. of your project) to Your Name”

  • (4) In case patent or other intellectual property be produced through the "ROIS-DS-JOINT" project, please contact the ROIS-DS promotion section for further discussions.
